Schedule in advance
Make sure that you schedule a regular cadence in advance. A good cadence is on a weekly or bi-weekly basis. It depends on the number of direct reports you have, but it is better to have more 1:1 meetings than fewer.
Schedule it at a good time that suits you and your report. Some people may like to have it in the mornings and some in the afternoons. Make sure you find a good time that suits both of you.
It’s also important to add a good description of the meeting to make sure there are the right expectations. Make sure you share what are the expectations of the meeting beforehand.
